We collect information you provide directly to us when you create a workspace, invite team members, or contact us for support:

• Name, work email, and job title of workspace members
• Company name, size, and billing information
• Job descriptions and role requirements you upload
• Candidate data you import or that candidates submit via public apply pages
• Usage data and interaction logs within the platform

We use the information we collect to:

• Provide AI candidate scoring and pipeline management services
• Send transactional notifications — team invites, scoring results, billing receipts
• Respond to your support requests and improve our services
• Comply with legal and contractual obligations
• Generate anonymised, aggregated product analytics (no individual candidate data)

Huntwise AI processes candidate data on behalf of your organisation. You are the data controller; Huntwise AI acts as a data processor. This means:

• You are responsible for ensuring candidates are informed their data is being processed
• Candidate resumes and contact details are stored only within your workspace and are not shared with other organisations
• You may export or delete candidate data at any time from the dashboard
• We do not use candidate data to train shared AI models without explicit consent

We do not sell or share your data with third parties for marketing purposes. We may share data in the following limited circumstances:

• With your consent, as described in this policy
• With service providers who assist in operating our platform (OpenAI for AI scoring, Firebase for storage, Razorpay for billing) — all bound by data processing agreements
• To comply with legal obligations or prevent fraud
• In connection with a business transfer or acquisition

We implement industry-standard technical and organisational measures to protect your data. All data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Credentials and API keys are encrypted before storage. However, no method of transmission over the internet is 100% secure.

We retain workspace and candidate data for as long as your subscription is active. On cancellation, data is retained for 30 days to allow export, after which it is permanently deleted. You may request immediate deletion at any time by contacting us.
